Terms and Conditions
By registering for packages with EuroCycler
and submitting a deposit, the participant(s) acknowledges receiving
and agreeing to the Terms & Conditions as set forth below covering
arrangements by EuroCycler.
Air Transportation: If the participants have agreed to use EuroCycler to arrange for air transportation, the following terms and conditions apply to such purchased tickets: Transportation is in an agreed on class on regularly scheduled international and national flights using the agreed on carrier(s). The air fare is based on the contract fare at the time of the printing of the materials plus all applicable government and airline taxes and fees. Taxes and fees are subject to change, and the passenger will be assessed for all taxes and fees in effect at the time airline tickets are issued. Once issued, airline tickets become nonrefundable, and all rules of the air carrier apply. If you are a member of the chosen airline's frequent flyer program, it is your responsibility to confirm that the number is in your airline record when you check for the first flight. You are also responsible for informing the gate agent at the check in desk with your member details in order to claim the air miles.
Land Transportation: Land transportation will be provided only as specified in the itinerary using a modern motor coach. In some cases, private limousines, vans or taxis may also be used for transfers.
If the number of guests per trip do not exceed 24, EuroCycler reserves the right to substitute coach transportation for mini-bus transportation.
EuroCycler reserves the right to substitute coach or mini-bus transportation for rail transportation at any time.
Accommodations: : Trip prices are based on double occupancy, unless single occupancy has been specified while booking for an additional charge. If you are traveling alone and want to share a room, we will do our best to pair you with a roommate of the same gender.
Meals and Drinks: The tour price includes meals as specified in the daily itineraries. All ride days feature a hearty, healthy breakfast including coffee, tea, juices and milk. A large sandwich and fruit buffet is provided for you to prepare your own lunch to be enjoyed out on the road except when other arrangements have been made. Water is provided every morning prior to ride departure and during the lunch break. Bring your own drink-mix and energy bar and choose products that you have well tested and know will not upset your stomach. Table wines and water are included with the group dinners. Should you have special requirements for health reasons, the restaurant will do everything they can to accommodate you. Please inform us of your needs in the additional information section of the sign-up form.
Non-riding Partner Program: A dedicated Tour hostess will be assigned to non-riders who will offer several sightseeing options on most days in addition to the specified race-viewing opportunities. To enjoy these separate sightseeing activities, non-riders will be transported in a separate minibus when necessary.
Bicycles and Gear: The use of a Scott CR1 Edition Team bicycle with triple chain-ring is included with each package if requested by the guest during the booking process. EuroCycler reserves the right to substitute road bicycles of similar quality if necessary. It is the guest's responsibility to bring his/her preferred pedal system and bring his/her appropriate bicycle shoes. EuroCycler recommends the use of hard sole bicycle shoes only and does not provide platform pedals with cages. Guests who plan to bring their own bicycle are advised to equip their bike with a triple chainring or at least 39/25 set-up. Aerobars or Time-Trial bicyles are not allowed. Upon arrival, guests' personal bicycles will be inspected for safe operation by our mechanics. Throughout the trip, any replacement parts required for the repair of personal bikes are required to be paid by the guest at the time of repair. Guests are required to bring their own helmets, which must be worn with the safety strap locked at all times while riding.
Luggage: Luggage aboard airlines is limited to one carry-on and two suitcases per participant with a maximum weight of 50 pounds per checked bag. Please review luggage policy with your carrier since they might have individual rules. All overweight and excess baggage is subject to a surcharge by the airline, payable by the owning guest. Federal regulations require that all luggage have outside bag tags for identification. All luggage and personal items are at the owner's risk at all times. EuroCycler accepts no responsibility for lost, delayed or damaged luggage or bicycles. Security personnel may ask to hand search any and all luggage.
Transfers and porterage: Transfers from the airport/train stations and the hotel and between the hotels are included. You will be asked to provide EuroCycler with your air/train travel details to arrange for your pick-up. It is your responsibility to inform EuroCycler about changes in your travel itinerary. A tour guide holding a EuroCycler sign will greet you at the airport/train station and escort you to the coach for transfer. For security reasons, airport porters are not used. However, luggage trolleys are available at the airport terminal entrances. Luggage transfers between hotels will be arranged by EuroCycler staff.
Passports and Visas: All participants must have a passport that is valid for 6 months after the conclusion of the tour. It is the passenger's responsibility to obtain a valid passport and or visa if necessary. US citizens do not need a visa for France. EuroCycler assumes no responsibility for changes in document requirements, not for carriage or entry into any destination for any passenger not having proper documentation. Passengers denied boarding or entry because of improper documentation will receive no refund.
Payment: You can book a EuroCycler vacation package at any time up until the day prior to your selected trip's departure, based on availability. To book the trip of your choice, you can sign up online or call EuroCycler at 1-866-789-EURO. That is 1-866-789-3876 for North American travelers. Participants from other countries can call +1-215-681-0101. All trip prices are listed in US dollars and are subject to change at any time due to fluctuations in the value of foreign currency or significant unexpected changes in airfares. For payment, EuroCycler accepts credit cards, personal checks and wire transfers. You can pay in full or a down payment. The remainder must be paid at least 90 days prior to your trip's departure, based on the price listed as of your payment date. With authorization, EuroCycler can automatically bill your credit card for this remaining balance. Upon receipt of your final payment, you will receive a complete pre-departure kit. This will contain a daily itinerary, pre-trip planning information and more. Payment of a deposit constitutes acceptance of the Terms and Conditions of this package.
Refunds for withdrawals or absences: If serious illness or emergency compels you to leave the tour, EuroCycler will make best efforts to refund you for unused services. Appropriate medical documentation must be furnished within 60 days following the conclusion of the Tour before any refund will be considered. Refunds are limited to amounts that can be reasonably recovered from the service providers by EuroCycler. EuroCycler highly recommends the purchase of Trip/Travel Insurance to protect you from losses due to illness or emergency. It is the responsibility of each guest to purchase their own travel insurance. There is no refund for arriving late or leaving a trip early.
Cancellation: Any cancellation will incur a minimum service fee of US$100 in addition to the non-refundable deposit. The non-refundable deposit is not applicable towards the service fee. If you must cancel your trip more than 90 days before your trip's departure, the minimum cancellation fee will be charged; 61-90 days before your trip, a cancellation fee of 25% of the original trip price will be charged; 31-60 days before your trip, a cancellation fee of 50% of the original trip price will be charged. There is no refund for canceling a trip less than 30 days before departure. If we are able to replace your cancelled booking by another party from our waiting list, you will be refunded whatever you have paid towards your trip less the non-refundable deposit and the minimum cancellation fee. This will be handled on a first-come first-serve basis and is at EuroCycler's discretion.
Smoking: Smoking is not allowed in airport terminals, on planes, or in motor coaches. Please note that most restaurants and public buildings in Europe allow smoking, and you may be subjected to secondhand smoke in those facilities.
Items not included in the price: Any expenses that are not explicitly mentioned in these terms and conditions are not included in the package. These include, among others expenses, passport fees, alcoholic beverages, telephone calls and valet/laundry services.
Minimum Participants per travel package: EuroCycler reserves the right to cancel a trip at any time. In this event, a full refund of the EuroCycler trip package will be issued.
EuroCycler does not refund airtravel that was not booked by EuroCycler. If a trip must be canceled due to low enrollment (less than 10 travelers per trip), we will make every effort to do so at least 60 days prior to the trip start. A trip will not be canceled due to low enrollment within 30 days of your trip's departure.
Tickets and vouchers: Once delivered to you, the safekeeping of airline tickets, vouchers and other travel documents shall be your responsibility. EuroCycler is not responsible for the loss, theft, or misplacement of airline tickets and travel vouchers, nor for additional expenses incurred through the loss, theft or replacement of these documents. The passenger's failure to possess necessary tickets may result in denial of boarding without the right to an alternative transportation refund.
Insurance: EuroCycler assumes no responsibility or liability for any loss or damage of personal effects or for any injury or loss incurred during the tour. Therefore, baggage and health/accident insurance are highly recommended. Also, we strongly recommend the purchase of travel insurance to protect you in the event you must cancel your vacation or if your trip is interrupted for any reason. Guests are advised that virtually no healthcare program will fully cover your medical treatment outside the United States. Should you become ill or incur an injury while on your trip, you will be responsible for paying for any medical treatment you need out of your own pocket unless you have purchased Travel Insurance which specifically covers medical expenses. Given the active nature of your EuroCycler bicycling vacation, we feel it is crucial that you protect yourself with proper medical coverage. Further, should you need to cancel your vacation less than 90 days prior to your departure, cancellation penalties will be applied according to the schedule set forth in your trip's Terms and Conditions. Should you need to cut your trip short for any reason, you will be responsible for the full cost of your trip plus any additional travel expenses incurred to return home. Purchasing Travel Insurance that includes Trip Cancellation coverage will protect you in the event any of these situations should arise. Responsibility: EuroCycler assumes no responsibility for any third party who fails to provide services that have been contracted for any of its tours. In such an event, EuroCycler will do its best to find alternative services as quickly as possible. Air carriers and transportation companies are responsible only for the portion of the trip performed by them and in accordance with the Terms and Conditions of their individual passage contract and are subject to applicable laws, treaties, and regulations. The passenger contract is issued by the air carrier or transportation company and shall constitute the sole contract between the respective company and the tour participants.
Eligibility: EuroCycler requires all participants to be at least 18 years of age.
Booking Conditions
Responsibilities of Participants: Participants are responsible for selecting a EuroCycler vacation package suitable for their athletic ability, fitness level and state of health. They are responsible for reading all pre-trip materials, reading and obeying all safe biking rules, and advising EuroCycler of any medical or dietary problems or restrictions prior to booking a trip. Participants are required to wear helmets at all times while bicycling on any EuroCycler trip. Participants are responsible for informing themselves on all passport, visa and health requirements relative to their trip and making sure all required documents are in proper order and taken with them on their trip. Participants are responsible for checking in for flights at the correct time. Participants must also sign and submit a EuroCycler Release and Assumption of All Risk Form and Personal Information Form prior to departure on any EuroCycler trip. Participants are required to respect the laws and customs of countries visited and follow environmental guidelines and regulations while on the trip in accordance with the direction of their group leader. Participants must at all times respect the rights and privacy of other guests. EuroCycler reserves the right to ask any individual to leave the trip if, in the opinion of the Group Leader, the guest's continued participation may prove detrimental to the individual or group or is not compatible with the well-being and enjoyment of the other guests.
Limitations of Liability and Release: EuroCycler assumes no liability for bodily injury or property damage as a result of, but not limited to: physical exertion for which a traveler is not prepared; forces of nature, civil unrest, terrorism, illegal activity or force majeur; travel by plane, train, auto, boat, bicycle or other conveyance, or by foot or other form of active or adventure travel; consumption of alcoholic beverages; breakdown of equipment; high altitude; inclement weather; lack of or limited access to medical attention in remote locations; and inadequacy of medical attention once provided. EuroCycler is not liable for expenses, e.g., meals, transportation or hotel costs not specified as included in the trip cost but that may be required to get to or from a trip start or end. EuroCycler is not responsible for additional expenses due to delays or changes in transport or hotel services, sickness, weather, strikes, war, quarantine, government regulations, or any other cause. EuroCycler reserves the right to make route and resort modifications or to withdraw any tour announced without notice and to make alterations and substitutions in the itinerary as necessary. In this event, EuroCycler will make every effort to substitute an equal or better option.
