By registering for packages with EuroCycler
and submitting a deposit, the participant(s) acknowledges receiving
and agreeing to the Terms & Conditions as set forth below covering
arrangements by EuroCycler.
Booking Spain Trips with EuroCycler: If you choose four guests per room, you will have to provide names of at least two travel partners who will share the same room with you. Such travel partners have to submit their own booking. If you choose three guests per room, you will have to provide the name of at least one travel partners who will share the same room with you. Such a travel partner has to submit his/her own booking. In the case you choose two guests per room and you travel alone, you will be grouped with a roommate of the same gender. You will have the option in the booking process to list your travel partner(s) so we can group you according to your choice.
Bicycles and gear: One road bicycle per person is included for non-European travelers based on the availability of your required frame size. Bikes will be reserved on a first serve first come basis and the first ten sign-ups for any given week have a bicycle (Scott CR1) allocated with priority given to guests on the wait-list. Travelers from Europe have to bring their own bicycle. Non-European travelers will be reimbursed 50 EUR for rental fee expenses if they bring their own bicycles. Bicycles with triathlon or time-trial handle bars are not allowed on EuroCycler trips. In any case, you have to bring your own pedals, and if you prefer, your own saddle. Guests who plan to bring their own bicycle are advised to equip their bike with a triple chainring or a 39/25 set-up. Your personal bicycle has to be properly serviced before trip departure. Upon arrival, guests' personal bicycles will be inspected for safe operation by our mechanics. Throughout the trip, any replacement parts required for the repair of personal bikes are required to be paid by the guest at the time of repair. Guests are required to bring their own helmets, which must be worn with the safety strap locked at all times while riding. EuroCycler recommends the use of hard sole bicycle shoes only and does not support riders with platform pedals or cages.
Bicycle Rides: Rides are organized in groups of various speeds and certain group riding skills and technical riding are required. The EuroCycler coaches will support you in finding the right speed-group for you and provide group coaching on the rides. IPods or other headset devices are not allowed during rides. If you prefer, you can ride your bike outside the organized ride groups. In such a case, neither support nor coaching or back-up is provided.
Meals and Drinks: The trip price includes all meals. An extensive, sportsmen like hot and cold breakfast buffet. Breakfast beverages such as coffee, tea, juices and milk are included. A large sandwich and fruit buffet is provided to prepare your own lunch sandwiches which are brought in by the tour van during the lunch break. Energy bars and gels are not provided, we recommend real food for training and racing. Feel free to bring your own bars and gels if you believe they are necessary. A convencience store also provides certain European brands such as Sponsor and PowerBar (Nestle). An extensive dinner buffet is provided for with various themes every evening. Isotonic drinks, ice tea and or water are provided every morning prior to ride departure and during the lunch break. Bottled and alcoholic beverages are available but not included in the price. Should you have special requirements for health reasons, the restaurant will do everything they can to accommodate you. Please inform us in the information section of the sign-up form.
Sightseeing: Sightseeing is not included in the training package. However, if you are a non-bicycling travel companion or would like to endeavor into some sightseeing, we can advise you with local resources to accommodate your needs.
Air Transportation: Most EuroCycler guests book for the air transportation on their own.
However, if participants travel in a group and have agreed to use EuroCycler to
arrange for group air transportation, the following terms and conditions apply to
such purchased tickets: Transportation is in an agreed on class on regularly
scheduled international and national flights using the agreed on carrier(s).
The air fare is based on the contract fare at the time of the printing of the
materials plus all applicable government and airline taxes and fees. Taxes and
fees are subject to change, and the passenger will be assessed for all taxes
and fees in effect at the time airline tickets are issued. Once issued, airline
tickets become nonrefundable, and all rules of the air carrier apply. If you
are a member of the chosen airline's frequent flyer program, it is your
responsibility to confirm that the number is in your airline record when you
check for the first flight. You are also responsible for informing the gate
agent at the check in desk with your member details in order to claim the air
miles.
Land Transportation: Land transportation will be as specified in the itinerary. A modern motor coach will be used. In some cases, private limousines, vans or taxis may be used for transfers. EuroCycler reserves the right to substitute coach transportation by rail transportation and visa versa.
Accommodations: The trip prices are based on an occupancy level and room style as described in the accommodation section.
Luggage: Luggage aboard airlines is limited to one carry-on and two
suitcases per participant with a maximum weight of 50 pounds per checked bag.
Some carriers and airports have lower weight restrictions. Please check with
your air carrier and destination airport since regulations change frequently.
All overweight and excess baggage is subject to a surcharge by the airline.
Federal regulations require that all luggage have outside bag tags for
identification. All luggage and personal items are at the owner's risk at all
times. EuroCycler accepts no responsibility for lost, delayed or damaged
luggage. Security personnel may ask to hand search any and all luggage.
Transfers and porterage: Transfers to and from vacation resort and airport are included. A tour guide with a EuroCycler board will be awaiting you at the airport and lead you to the coach for transfer. For security reasons, airport porters are not used. However, luggage trolleys are available at the airport terminal entrances
Passports and Visas: All participants must have a passport that is valid for 6 months after the conclusion of the tour. It is the passenger's responsibility to obtain a valid passport and or visa if necessary. US citizens do not need a visa for Spain, France or Switzerland. EuroCycler assumes no responsibility for changes in document requirements, not for carriage or entry into any destination for any passenger not having proper documentation. Passengers denied boarding or entry because of improper documentation will receive no refund.
Reservations and Payment: You can reserve and or book a EuroCycler vacation package
at any time up until the day prior to your selected trip's departure, based on
availability. To book the trip of your choice, you can sign up online or
call EuroCycler at 1-866-789-EURO. That is 1-866-789-3876 for North American
travelers. In Europe you can reach us at +41-79-697-0785. For payment, EuroCycler accepts major credit cards (AmEx, Visa, Master Card),
wire transfers and personal checks. Payments via credit cards will be charged an
additional 3 % for card administration fees. A deposit of 50 % of
the trip cost is required to reserve your trip. The remainder must
be paid at least 90 days prior to your trip's departure. With authorization, we
can automatically bill your credit card for this remaining balance. Upon
receipt of your final payment, you will receive a complete pre-departure kit.
This will contain pre-trip planning information and more. Payment of
a deposit constitutes acceptance of the Terms and Conditions of this package.
Refunds for withdrawals or absences: If serious illness or emergency compels you to leave the tour, EuroCycler will make best efforts to refund you for unused services. Refunds are limited to amounts that can be recovered from the service providers by EuroCycler and written requests with relevant documentation have to be received within 60 days of completion of the trip. A Travel insurance may cover losses. There is no refund for arriving late or leaving a trip early.
Cancellation - Refund policy for travel packages: Any cancellation will
incur a minimum fee of EUR 100, in addition to the non-refundable deposit. The non-refundable
deposit is not applicable towards the cancellation fee. If you must cancel your
trip more than 90 days before your trip's departure, the minimum cancellation
fee will be charged; 61-90 days before your trip, a cancellation fee of 25% of
the original trip price will be charged; 31-60 days before your trip, a
cancellation fee of 50% of the original trip price will be charged. There is no
refund for canceling a trip less than 30 days before departure. If we are able
to replace your cancelled booking by another party from our waiting list, you
will be refunded whatever you have paid towards your trip less the
non-refundable deposit and the minimum cancellation fee. This will be handled
on a first-come-first-serve basis and is at EuroCycler's discretion.
Smoking: Smoking is not allowed in airport terminals, on planes, or in
motor coaches. Please note that depending on the country and local regulations,
many restaurants and public buildings in Europe allow smoking, and you may be
subjected to secondhand smoke in those facilities.
Items not included in the price: Any expenses that are not explicitly mentioned in these terms and conditions are not included in the package. These include among others expenses such as passport fees, telephone calls, valet/laundry services, expenses.
Minimum Participants per travel package: EuroCycler reserves the right to cancel a trip at any time. In this event, a full refund will be issued. If a trip must be canceled due to low enrollment (less than 10 travelers per trip), we will make every effort to do so at least 60 days prior to the trip start. A trip will not be canceled due to low enrollment within 30 days of your trip's departure.
Tickets and vouchers: Once delivered to you, the safekeeping of airline tickets, vouchers and other travel documents shall be your responsibility. EuroCycler is not responsible for the loss, theft, or misplacement of airline tickets and travel vouchers, nor for additional expenses incurred through the loss, theft or replacement of these documents. The passenger's failure to possess necessary tickets may result in denial of boarding without the right to an alternative transportation refund.
Insurance: EuroCycler will not assume responsibility or liability for any
loss or damage of personal effects or for any injury or loss during the
duration of the trips. Therefore, baggage and health/accident insurance are
highly recommended. Also, we strongly recommend the purchase of travel
insurance to protect you in the event you must cancel your vacation or if your
trip is interrupted for any reason. The fact is, virtually no healthcare
program will fully cover your medical treatment outside your home country.
Should you become ill or incur an injury while on your trip, you will be
responsible for paying for any medical treatment you need out of your own
pocket unless you have purchased Travel Insurance which specifically covers
medical expenses. Given the active nature of your EuroCycler bicycling
vacation, we feel it is crucial that you protect yourself with proper medical
coverage. Emergency medical transportation to your home country is not included in the trip package.
Should you need to cancel your vacation less than 90 days prior to your
departure, cancellation penalties will be applied according to the schedule set
forth in your trip's Terms and Conditions. Also, should you need to cut your
trip short for any reason, you will be responsible for the full cost of your
trip plus any additional travel expenses incurred to return home. Purchasing Travel Insurance that includes Trip Cancellation coverage will protect you in the event any of these situations should arise. Weather you bring your own bicycle or use a rental bike, you are responsbile for
proper maintenance and safekeeping of the bike during the trip. Bringing a padlock is recommended.
Due to the value of certain personal bicycles, we advise you to take out a specific
bicycle transport insurance that also includes breakdown and theft. Please note
that airlines don't treat bicycle cases with the necessary caution. To minimize damage
we recommend to add a spacer in the forks and take the rear derailleur off the drop-out.
Responsibility: EuroCycler will not assume responsibility for any third party who fails to provide services that have been contracted for any of its tours. In such an event, EuroCycler will do its best to find alternative services as quickly as possible. Air carriers and transportation companies are responsible only for the portion of the trip performed by them and in accordance with the Terms and Conditions of their individual passage contract and are subject to applicable laws, treaties, and regulations. The passenger contract is issued by the air carrier or transportation company and shall constitute the sole contract between the respective company and the tour participants.
Eligibility: EuroCycler requires all participants to be at least 18 years of age.
Responsibilities of Participants: Participants are responsible for selecting a EuroCycler vacation package suitable for their athletic ability, fitness level and state of health. They are responsible for reading all pre-trip materials, reading and obeying all safe biking rules, and advising EuroCycler of any medical or dietary problems or restrictions. Also, participants must wear helmets at all times while bicycling on any EuroCycler trip. Participants are responsible for informing themselves on all passport, visa and health requirements relative to their trip and that all required documents are in proper order and taken with them on their trip. Participants are responsible for checking in for flights at the correct time. Participants must also sign and submit a EuroCycler Release and Assumption of All Risk Form and Personal Information Form prior to departure on any EuroCycler trip. Participants are required to respect the laws and customs of countries visited and follow environmental guidelines and regulations while on the trip in accordance with the direction of their group leader. Participants must at all times respect the rights and privacy of other guests. EuroCycler reserves the right to ask any individual to leave the trip if, in the opinion of the leader, the guest's continued participation may prove detrimental to the individual or is not compatible with the well-being and enjoyment of the other guests.
Limitations of Liability and Release: EuroCycler is not liable for bodily injury or property damage as a result of, but not limited to: physical exertion for which a traveler is not prepared; forces of nature, civil unrest, terrorism, illegal activity or force majeur; travel by plane, train, auto, boat, bicycle or other conveyance, or by foot or other form of active or adventure travel; consumption of alcoholic beverages; breakdown of equipment; high altitude; inclement weather; lack of or limited access to medical attention in remote locations; and inadequacy of medical attention once provided. EuroCycler is not liable for expenses, e.g., meals, transportation or hotel costs not specified as included in the trip cost but that may be required to get to or from a trip start or end. EuroCycler is not responsible for additional expenses due to delays or changes in transport or hotel services, sickness, weather, strikes, war, quarantine, government regulations, or any other cause. EuroCycler reserves the right to make route and resort modifications or to withdraw any tour announced without notice and to make alterations and substitutions in the itinerary as necessary. In this event, EuroCycler will make every effort to substitute an equal or better option.
